  • Select Regime Type
  • Selects Process Type

  • Displays relevant fields based on Process Type  selected
  • Indicates mandatory fields and attachments

  • Fills out Application form and attaches required documents
  • Submits Application with attachments

  • Verifies Application being submitted

If verification fails see AF1, otherwise continue

  • Calculates and displays the relevant fees (if applicable)
  • Registers Application & assigns a Unique Reference Number
  • Notifies Applicant of successful submission
  • Updates Application Status to Registered

  • Makes Payment for Application (if applicable)
  • Submits Coffee Sample to JACRA

  • Updates Application status to Paid
  • Creates & assigns Application Assessment to the Assessor
  • Notifies JACRA Assessor 1 of the assignment of the Assessment via email

  • Receives notification, reviews Application
  • Review coffee supply in Jamaican market
  • Receive sample of Coffee to be imported from Applicant and send to the Quality Assurance Officer
  • Makes decision to either Accept, Query or Reject

If Queried see AF2, otherwise continue

If Rejected see AF3, otherwise continue

  • Accepts Application and assigns Assessment for quality assurance test

  • Assigns Assessment to JACRA Assessor 2
  • Sends notification of assessment to JACRA Assessor 2 via email

Assessor2

  • Receives notification, reviews Application
  • Tests sample; prepares and uploads result of test to the Assessment and re-assigns Assessment to Assessor 1

  • Makes the assessment document be available to JACRA Assessor 1
  • Notifies JACRA Assessor 1 that the assessment is now available to be processed

JACRA Assessor 1

  • Makes recommendation based on Market supply and quality test results
  • Makes decision to either Approve, Query or Reject

If Queried see AF2, otherwise continue

If Rejected see AF3, otherwise continue

  • Accepts Application and assigns Assessment for quality assurance test
  • Inputs allocation recommendation
  • Approves application

  • Creates and assigns the Application Assessment to the MOAF Assessor
  • Notifies MOAF Assessor via email
  • Makes Application available for download
  • Makes ‘No Objection Letter’ available for download

Assessor

  • Receives notification and reviews application and determines action

If more details are required see AF2; otherwise continue

  • Prints and submits the Application and the Letter to the Minister for review and signature

  • Reviews and makes decision
  • Signs ‘No Objection Letter’

  • Receives and uploads the signed ‘No Objection Letter’ in JSWIFT
  • Select outcome based on the Minister’s decision to either Approve, Query, or Reject

  • Approves MOAF Assessment

  • Updates Application status to Approved
  • Makes signed eLicence available for download
  • Notifies Applicant of Approval
  • Notifies JACRA Assessor

  • Downloads eLicence (if required)

AF1: If Verification Fails

  • Displays error message showing what needs to be provided

  • Updates application
  • Re-attempt submission

AF2: If  Queried

Assessor

  • Selects option to Query and indicates Query Type (Clarification, Modification or Attachment Upload)
  • Enters additional details required from Applicant
  • Submits Query request

  • Updates Application status to Under Query
  • Notifies Applicant of Query Request via email
  • Makes Application available for modification or uploading of Attachment

  • Updates Application as requested and resubmits

Revert to normal flow

AF3: If Rejected

 

Assessor

  • Enters reason for rejection in ‘Applicant Notification’ field on the Assessment
  • Updates Assessment to Rejected

  • Updates Application Status to Rejected
  • Sends email notification to Applicant citing rejection and the reason for rejection
 

Applicant

  • Receives email notification
